How to Evaluate AI Event Tools: 10 Questions to Ask Before You Buy

AI is showing up in every corner of event technology right now. Email drafting, attendee Q&A, ticket recommendations, post-event reporting — vendors are bolting "AI-powered" onto features as fast as they can ship them. Some of it is genuinely useful. Some of it is a chatbot with a fancier name.
This guide gives you ten questions to ask any vendor before you sign a contract. A good vendor should be able to answer all of them clearly. If they hedge, deflect, or tell you not to worry about it, that is information worth having.
1. Where does my data go?
Why it matters
Event data is sensitive: attendee names, contact details, purchase history, and sometimes health or dietary information. When you connect that data to an AI system, you need to know where it goes and what happens to it.
What a good answer looks like
A trustworthy vendor will name the AI providers they use, explain whether your data is sent to third-party model APIs, and confirm whether your data is used to train shared AI models. They will also be able to tell you which region your data is stored in — a meaningful question if you operate under GDPR, PIPEDA, or similar regulations.
Red flags
- "We use industry-standard security" without specifics
- No mention of whether attendee data is shared with AI model providers
- Inability to confirm data residency
- Vague language about data being used to "improve the product"
2. How does the AI handle mistakes?
Why it matters
AI systems hallucinate. They produce confident-sounding output that is factually wrong. In event management, a wrong ticket price in an automated email or an incorrect venue detail in a confirmation can cause real damage — refunds, support tickets, and reputational harm.
What a good answer looks like
The vendor should explain what guardrails exist to catch errors before they reach attendees. This might include output validation, confidence thresholds, or mandatory human review for high-stakes actions. Ask specifically: "Can the AI send emails to attendees without a human reviewing the content first?"
Red flags
- "Our AI is very accurate" as a substitute for a structural answer
- No distinction between low-stakes suggestions and high-stakes automated actions
- No mention of how errors are caught, logged, or corrected
3. Can I see what the AI does before it executes?
Why it matters
Automation is only useful if you trust it. And trust requires visibility. If the AI can take actions — sending emails, updating records, publishing events — without showing you what it is about to do, you are operating blind.
What a good answer looks like
Look for human-in-the-loop approval workflows. Before the AI executes a consequential action, you should see a summary of what it plans to do and have the ability to approve, edit, or reject it. The best implementations show you the exact output — the email copy, the event details, the change — not just a description of the action.
Red flags
- The AI executes actions immediately with no review step
- Approval workflows exist but only for some action types, with no clear logic about which ones
- You cannot override or reject an AI action after it is proposed
4. Does the AI understand my event context?
Why it matters
Generic AI responses are obvious and often unhelpful. An AI assistant that does not know your event name, your ticketing tiers, your typical attendee questions, or your organization's policies will produce output you have to heavily edit every time.
What a good answer looks like
Ask whether the AI can be trained on or connected to your specific event data — past events, FAQ documents, pricing rules, communication templates. The answer should describe a real mechanism for this, not just "the AI learns over time."
Red flags
- Demo answers that sound polished but are entirely generic
- No way to upload or connect your own knowledge sources
- AI responses that ignore the specific context you provided in a question
5. How does it integrate with my existing tools?
Why it matters
Event coordinators already work across CRMs, email platforms, payment processors, venue management systems, and spreadsheets. An AI tool that lives in its own silo adds work rather than reducing it.
What a good answer looks like
Ask for a specific list of integrations, not a category list. "We integrate with email" is not the same as "we have a native integration with Mailchimp that syncs contact lists bidirectionally." Ask whether integrations are read-only or can write back to your existing systems.
Red flags
- Integrations described vaguely as "coming soon" or "via Zapier" when you need native depth
- No ability to trigger AI actions from within your existing workflow
- Data syncing that is manual or one-directional only
6. What happens when the AI is wrong?
Why it matters
This is different from question two. Question two is about prevention. This question is about accountability. When an AI-assisted action causes a problem — a wrong email goes out, a ticket gets oversold, an attendee gets incorrect information — who is responsible and what happens next?
What a good answer looks like
The vendor should describe a clear process: how errors are reported, whether there is an audit log of AI actions, and what recourse you have. They should also be honest that some errors will happen, and that the system is designed to minimize their impact rather than pretend they will not occur.
Red flags
- Terms of service that disclaim all liability for AI-generated content
- No audit log or history of AI actions
- Support processes that treat AI errors as user error by default
7. How is pricing structured?
Why it matters
AI features cost money to run, and vendors handle this in very different ways. Some include AI in the base subscription. Others charge per query, per email, or per action. Some advertise AI as included and then gate the useful parts behind a premium tier.
What a good answer looks like
You should be able to get a clear answer to: "If I use the AI features heavily for a month, what is the maximum additional cost?" If there is a usage-based component, ask for example invoices from similar customers. If AI is included in your subscription tier, ask for that in writing.
Red flags
- Pricing described as "it depends on usage" without any ceiling or estimate
- AI features included in demos that turn out to be add-ons at purchase
- Surcharges that only appear in the fine print of the contract
8. Can I customize the AI's behavior?
Why it matters
Your organization has a brand voice. You have rules about what the AI should and should not say — topics that are off-limits, language that matches your tone, response styles that fit your audience. A generic AI assistant that ignores these constraints creates inconsistency and risk.
What a good answer looks like
Ask whether you can set instructions for the AI: things it should always say, things it should never say, tone guidelines, escalation rules. Ask whether those customizations apply across all AI features or only some of them. The answer should be specific and demonstrable.
Red flags
- Customization limited to a single text field with no structure or enforcement
- No way to test whether your customizations are actually being applied
- AI behavior that reverts to defaults when faced with edge cases
9. What is the onboarding like?
Why it matters
Time to value is real. An AI tool that takes three months to configure and train before it produces useful output is a risk, especially if you have events happening in the meantime. The onboarding process also reveals how much work the vendor has done to make their AI genuinely accessible versus technically functional.
What a good answer looks like
Ask for a specific timeline: from contract signing to the AI producing useful output without constant supervision, how long does it typically take? Ask what your team needs to do versus what the vendor handles. Ask whether there are templates, starter configurations, or guided setup flows.
Red flags
- "It depends on your setup" without any benchmarks or case studies
- Onboarding that requires your team to do significant technical configuration
- No support resources specifically for AI feature adoption
10. How do I measure if it is actually helping?
Why it matters
"AI-powered" is not a metric. If you cannot measure the before-and-after impact of an AI tool on your operations, you cannot make a rational decision about whether to renew, expand, or replace it.
What a good answer looks like
The vendor should offer specific metrics that the platform tracks: time saved per task, response times, error rates, attendee satisfaction scores, email open rates. Ideally, they should be able to show you a dashboard or report that answers the question "is the AI helping?" with data, not anecdotes.
Red flags
- ROI claims without a methodology for how you would verify them in your own account
- No reporting on AI-specific usage or outcomes
- Metrics that measure AI activity (emails sent, queries answered) rather than outcomes (time saved, issues resolved)
A final note
Every vendor will tell you their AI is powerful, easy to use, and trustworthy. The ten questions above are designed to get past that. A vendor with nothing to hide will welcome the scrutiny and give you specific, honest answers.
